Refund Policy
GENERAL POLICY​ (beyond January 7th, 2024)

 

AAA Racing & Coaching employ the Race Roster ENHANCED REFUND PROTECTION facility.  All registrations are presented with the opportunity to take up the optional cover if you are unable to attend an event, or if an event is unable to proceed and as such you are unable to attend.  The cover includes but is not exclusive to:

  • Injury and illness

  • COVID-19

  • Pregnancy complications

  • Layoffs/termination

  • Severe weather

  • Mechanical breakdown

  • Postponement or cancellation of events in relation to the above

Merchandise if purchased and when applicable, will be supplied as and when available or the cost refunded if not available (the total refund for merchandise may be offset against expenditure already met by AAA Racing & Coaching).

COVID Impacted Events
GENERAL POLICY​ (up to and including January 7th, 2024)
  • Refunds will be subject to flat admin charge of $25 + any merchandise pre-ordered against the entry

  • Refunds limited to 50% eight weeks prior to any given event

  • Refunds discontinued beyond four weeks prior to any given event

  • Transfers discontinued within seven days of any given event date

  • Should events need to be rescheduled or cancelled, refunds may not be available, but registrants may opt to enter an alternative event at an appropriately discounted or zero fee or transfer to the same event the following year.

 

Merchandise may be subject to early registration. Also, if registration numbers dictate a run/order of medals cannot be pressed they may not be awarded.  For registrations made less than 12 days prior to an event, merchandise may be mailed to the participant.

 

NOTE: All refunds where applicable are processed on Monday as part of a batch process.  Changes or allowances to the contrary are at the organiser’s discretion.

 

Injury or illness, 'double-booking' for other events, while unfortunate and often unavoidable, does not mitigate any condition outlined in the refund policy.

 

Though there have been additional concessions applied in certain circumstances relating to COVID-19 and legislated restrictions, it is not standard policy to credit participants to another event if they cannot attend an event they registered for, and the limitations of the refund policy will apply.

 

Transfers to other participants discontinued seven days before any event.

 

'COVID-19 Impacted' events and participants:

We operate along the guidelines outlined by the ACCC with regard to cancellation, postponement and subsequent rescheduling of events.

  • Should an event be cancelled, participants will be issued with a credit for any other event or transfer to the same event the following year.

  • In the event of postponement and/or rescheduling, participants have the option of attending the rescheduled event or can be issued with a credit for any other event or transfer to the same event the following year.

  • If an event goes ahead as scheduled, but participants are unable to attend due to COVID restrictions in their own region or locality or other impediments as a result of COVID related legislations (close contact, have contracted COVID, etc.), they will be issued with a credit for any other event or transfer to the same event the following year.

'Weather Impacted' events and participants:

We operate along the guidelines outlined by the ACCC with regard to cancellation, postponement and subsequent rescheduling of events.

  • In the event of inclement weather or a 'weather event' impacting any aspect of any of our events, we operate in consultation and within conditions of permits and permissions applied by our stakeholders (QPWS, HQP, Queensland Government departments, etc.)

  • Safety of participants and event crew is paramount.  

  • Should an event be cancelled, participants will be issued with a credit for any other event or transfer to the same event the following year.

  • In the event of postponement and/or rescheduling, participants have the option of attending the rescheduled event or can be issued with a credit for any other event or transfer to the same event the following year.

  • If an event goes ahead as scheduled, but participants are unable to attend due to difficulties attending as a result of weather conditions in their locality (situations declared be a relevant local authority) they will be issued with a credit for any other event or transfer to the same event the following year.

EXTRAORDINARY CIRCUMSTANCES

Under certain circumstances, AAA Racing & Coaching may offer discounts or credit against a registration to the same or similar event within the next calendar year of an impacted event.  The nature of such circumstances would be determined as and when they occur.
